E-mail Writing

             E-mails have brought about a revolutionary change in the field of communication. There
             are certain advantages of e-mail       over other means of communication.

             G  One can send and receive electronic messages and save them on computers.
             G  It is also possible to send automated e-mails with a certain text. In such a way it is
                  possible to tell the sender that you are on a vacation. These e-mails are called auto

                  responders.
             G  They are very fast and economical. They are delivered at once around the world. No

                  other form of written communication is as fast as an e-mail.
             G  When you send your reply to an e-mail, you can attach the original message so that
                  the recipient knows what you are talking about. This is important for a person who
                  receives numerous e-mails in a day.

             G  E-mails do no use paper. They are environment friendly and save a lot of trees from
                  being felled.

             G  They can also have pictures in them. You can send birthday greetings or newsletters
                  as e-mails.

             G  Products  can  be  also  be  advertised  with  e-mails.  Companies  can  reach  a  lot  of
                  people and inform them in a short time.

             Now, look at certain guidelines for writing an effective e-mail.

             G  The subject line states the main point of the message so it is very important. The
                  subject line should be brief. It should be short and must contain a definite clue to the
                  content of the message.

             G  The main points should be highlighted using bullets, numbers, etc.
             G  The  postal  address  or  date  is  not  mentioned  in  an  e-mail.  Only  the  e-mail  ID  is
                  given.

             G  Greeting  is  a  desirable  courtesy  in  the  beginning.  We  do  not  always  need  to  be
                  formal  and  write  Dear  Mr  or  My  dear.  But,  informal  greetings  like  Hello,  Hi,  etc.

                  must be included.
             G  Also,  a  formal  complimentary  close  is  not  always  required    like  yours  sincerely,
                  faithfully.  But,  at  the  end  of  the  message  name  should  be  mentioned.  Your  name
                  conveys your regards. Designation may be written if desired.

             G  E-mail  messages  are  transmitted  fast  but  that  does  not  mean  they  should  be
                  composed also at the same speed. Your message should be precise, complete and
                  well-organised.
