3 Notice WritingNotice Writingotice Writing
A notice is a precise piece of writing which is formal in style. It is used by individuals and
organisations to announce events and celebrations, births and deaths, occasions like
inaugurations or sales, to issue public instructions, to make appeals and to extend
invitations. Notices are meant to be pinned up on special boards meant for this specific
purpose only.
Content that a good effective notice include in it are:
G Name of the organisation, institution or office issuing it.
G Date of issuing of a particular notice.
G The heading ‘Notice’ to make it very clear.
G A suitable description / eye-catching caption or heading to hold the immediate
attention of the reader.
G Purpose for which it has been written like calling a meeting, drawing attention,
making an appeal, informing general public about some issue of concern, etc.
G Details of schedule i.e., date, time, venue, programme, duration, etc. incase the
notice is about an event to be organised in the near future.
Important Points to Remember while writing a notice are:
G Notice can use capital letters for details such as names of organisations, captions, an
important detail within the message itself.
G The entire content of the notice is entered within a ‘box’.
G The individual(s) responsible for issuing the notice indicates the name at the end of
the notice, below the signature, followed by their designation.
G Complete sentences need not always be used in all types of notices. Abbreviations
and symbols can also be used.
G There is a word limit of 50 words for the body of the notice. It should not be exceed
in any case.
G The language is kept very simple so that there is no possibility of a misunderstanding
in the reader’s mind.
G A notice is a formal piece of writing but it should be taken care to avoid a stiff tone.
G It is specific and concise, that is, it carries only relevant details in brief.
